Who is responsible for your information

Pip Floral Studio is responsible for the personal information described on this page.

Pip Floral Studio is operated by Anna Lambert as a sole trader in Tregaron, Ceredigion.

Information I collect

When you make an enquiry, I may collect:

  • Your name
  • Your email address and, for funeral flower enquiries, your telephone number
  • Your preferred method of contact
  • The date and location of your wedding, funeral, event or other project
  • Information about the flowers or service you are considering
  • Your likely budget or investment range
  • Links to moodboards, reference images or other material you choose to share
  • Details of a venue, funeral director or other person involved in the arrangements
  • Your communication preferences
  • Any other information you include in your enquiry or later correspondence

You do not have to provide information that is not marked as required. Please do not include medical information or other sensitive personal information in an enquiry form. If you need Anna to make a communication or access adjustment, you can describe the practical adjustment you would find helpful without explaining a diagnosis or medical history.

If you later choose to provide health or accessibility information directly to Anna because it is needed to make an adjustment, Anna will ask for your explicit consent to use it for that purpose. You may withdraw that consent at any time.

When you visit the website, Cloudflare may also process technical information needed to deliver and protect the site, such as your IP address, browser information, requested pages, dates and times, and security information.

How I use your information

I use personal information to:

  • Read and respond to enquiries
  • Check availability
  • Discuss your plans and prepare proposals or quotations
  • Arrange calls, meetings and venue visits
  • Plan, provide and manage the flowers or services you book
  • Coordinate delivery, installation and clearance
  • Communicate with venues, funeral directors and other people involved in the arrangements
  • Keep appropriate business, contractual and accounting records
  • Protect the website and forms from spam, misuse and security threats
  • Understand the overall use and performance of the website through privacy-focused analytics

I do not use enquiry details for email marketing and I do not sell personal information.

Lawful bases

Depending on the circumstances, I process your information because:

  • It is necessary to take steps at your request before entering into a contract, or to perform a contract with you
  • It is necessary for my legitimate interests in responding to enquiries, communicating with prospective and existing clients, operating Pip Floral Studio and protecting the website, where those interests are not overridden by your rights
  • It is necessary to comply with legal obligations, including tax and accounting requirements
  • You have given explicit consent to the use of health or accessibility information for a specific communication or access adjustment

You may withdraw consent at any time by emailing hello@pipfloralstudio.com. Withdrawal does not affect processing that took place before consent was withdrawn.

Who receives your information

Anna is the only person who routinely accesses enquiry submissions and client records.

Information may be processed by:

  • Formspree, which receives website form submissions and makes them available to Anna
  • Google Workspace, which provides the email service used to receive and respond to enquiries
  • Cloudflare, which hosts, delivers, protects and provides privacy-focused analytics for the website

Where it is necessary to provide the service, relevant details may also be shared with venues, funeral directors, churches, burial grounds, growers, delivery providers, assistants or other suppliers. Only the information reasonably needed for the arrangements will be shared.

Information may also be disclosed where required by law, or where reasonably necessary to establish, exercise or defend legal rights.

Form submissions

Website forms are processed by Formspree. Submissions are delivered to Anna's Google Workspace email account and retained in the Formspree account.

Formspree may process submission information and technical information, including IP address and browser information, in the United States and other countries in which it operates. You can read the Formspree privacy policy.

Do not use the forms to send medical information, payment card details or other sensitive personal information.

International processing

Some service providers may process personal information outside the United Kingdom, including in the United States.

Where information is transferred internationally, the provider and transfer mechanism must provide an appropriate level of protection under UK data protection law. This may include UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, contractual safeguards or another lawful transfer mechanism.

How long I keep information

Enquiries that do not lead to a booking are normally kept for up to two years from the last meaningful contact.

Information needed for accounting, tax, contractual or legal records may be kept for up to seven years. Other client information will be deleted or anonymised when it is no longer reasonably needed for the purpose for which it was collected.

These periods may be extended where information is needed to resolve a dispute, establish or defend a legal claim, or comply with a legal obligation.

Security

Reasonable technical and organisational measures are used to protect personal information. These include using established service providers, restricting routine access to Anna and transmitting the website over an encrypted connection.

No online service or method of electronic storage can be guaranteed to be completely secure.

Your rights

Depending on the circumstances, you may have the right to:

  • Ask for a copy of your personal information
  • Ask for inaccurate or incomplete information to be corrected
  • Ask for your information to be deleted
  • Ask for the use of your information to be restricted
  • Object to processing based on legitimate interests
  • Receive certain information in a portable format
  • Withdraw consent where processing is based on consent

These rights do not apply in every circumstance. I may need to confirm your identity before acting on a request.

If you are unhappy with how your information has been handled, please contact Anna first so that she can try to resolve the issue. You also have the right to complain to the Information Commissioner's Office.

Cookies and similar technology

A cookie is a small file stored on a device by a website. Similar browser technology can also store information without using a cookie.

This website does not use advertising cookies, marketing cookies or cross-site tracking.

Cloudflare

Cloudflare hosts, delivers and protects the website. It may use cookies or similar technology where strictly necessary for security, traffic management or reliable delivery of the site. These are not used by Pip Floral Studio for advertising.

Cloudflare Web Analytics is used to understand aggregate website traffic and performance. Cloudflare states that this service does not collect or use visitors' personal data and does not track individual visitors across websites. It does not use cookies for analytics.

Enquiry forms

The forms temporarily use session storage in your browser to retain answers if a submission fails. This information stays on your device until the form is submitted successfully or the browser tab is closed. It is used only to provide the form feature you requested.

Form submissions are protected against spam and misuse. Formspree and Cloudflare may process technical information needed to provide that protection.

Cookie consent

The current website does not use non-essential cookies or similar technology, so it does not display a cookie consent banner.

If analytics, advertising tools or embedded third-party services are added later, this page and the site's consent controls will be reviewed before those tools are activated.

The website may link to services such as Instagram or other external websites. Pip Floral Studio does not control those websites. Their own privacy and cookie policies apply when you visit them.

Changes to this page

This page may be updated when the website, services or legal requirements change. The latest revision date will appear at the top of the page.
